JoeAir Ltd (“we”, “us”, “our”) is a private limited company registered in England and Wales (Company Number: 17313696). We operate as the “Data Controller” for any personal information you provide to us through our website (joeair.co.uk), by phone, or in person.

We only collect personal information that you explicitly choose to send us via our online contact forms, direct email links, or telephone inquiries. This data is limited to:

  • Full name

  • Contact telephone number and email address

  • Site installation or service address

  • Technical details regarding your heating, cooling, or ventilation systems

3. Lawful Basis and Purposes of Processing

In compliance with Article 6 of the UK GDPR, we process your personal data under the following legal bases:

  • Contractual necessity (Article 6(1)(b)): to take steps at your request before entering into a contract (for example, preparing an installation quotation) and to fulfil our obligations under an active contract, including registering manufacturer warranties on your behalf.

  • Legitimate interests (Article 6(1)(f)): to respond to general enquiries, manage our business operations efficiently, and schedule site visits.

  • Legal obligation (Article 6(1)(c)): to keep transactional and contract records for the period required by UK tax and company law (see Data Retention below).

4. Data Retention

We do not hold your information indefinitely. If you request a quote but do not proceed, your data is securely deleted after 12 months. If you proceed with an installation, we retain transactional and contract records for a minimum of 6 years to satisfy our statutory UK tax and corporate reporting obligations.

5. Third-Party Sharing and Security

No marketing transfers: we do not share, sell, lease, or distribute your personal details to any third party for marketing purposes.

Who we do share data with: we share the minimum information necessary with:

  • the relevant equipment manufacturer, solely to register your product's manufacturer warranty;

  • our accountant/bookkeeper, solely to meet our tax and financial reporting obligations;

  • a subcontracted trade (for example, an independent electrician), where necessary to coordinate the installation, and only the details needed for that purpose.

  • the service providers that host our website, email and accounting records (currently Hostinger, Microsoft and Xero), solely so that we can run those services;

Data security: we use reputable service providers and appropriate physical and electronic security measures to protect your data from unauthorised access or loss.

6. Cookies and Tracking

Our website does not use any marketing, advertising, profiling or analytics cookies (such as Google Analytics or Meta Pixel). Our website host uses one security cookie, provided by Cloudflare, to identify automated bot traffic and protect the site. It expires after 30 minutes of inactivity and is not used to track you. Cookies of this kind are strictly necessary, so we do not ask for consent.

7. Your Legal Rights

Under UK data protection law, you hold the following rights regarding your data:

  • The right to access a copy of the personal data we hold about you.

  • The right to request the rectification of inaccurate or incomplete information.
